This Policy explains how Kliwe LLC, a limited liability company organized in the United States of America, collects, uses and protects personal data when you use Kliwe. For data inside your company books, your company is the controller and Kliwe LLC acts as its processor.
1.Data we collect
Account data (name, email, password hash or Google profile and avatar), company profiles (legal name, tax ID, country, settings), documents you upload and the data they contain (including third-party names, tax IDs and contact details), journal entries, chat messages, billing data handled by Stripe (we never see full card numbers), and technical data such as IP address, browser and usage logs.
2.How we use it
To provide the Service (reading documents, proposing entries, generating statements, answering questions), to bill credits and subscriptions, to secure the Service and prevent abuse, to send transactional emails (invitations, password resets, receipts) and to provide support. We do not sell personal data and do not use your documents to train public AI models.
3.Sub-processors
We rely on: Laravel Cloud (application hosting, database and file storage), Anthropic (AI reading of documents and analysis), DeepSeek (AI answers to text questions and text-only fallback processing), Stripe (payments), Google (optional sign-in) and our email delivery provider. Each processes data only to provide its service to us.
4.International transfers
Kliwe LLC is based in the United States and our providers may process data in the United States and other countries. By using the Service you understand that your data will be transferred to and processed in those countries under appropriate safeguards.
5.Retention
We keep Customer Content while your account and companies are active. When you delete a company or close your account, we delete its documents and records within 30 days, except data we must keep for legal, tax or fraud-prevention purposes (for example billing records).
6.Your rights
Depending on your location (for example GDPR in Europe, LGPD in Brazil, Law 1581 in Colombia, CCPA in California) you may have rights to access, correct, delete, port or object to the processing of your personal data. Write to support@kliwe.com and we will answer within the legal deadlines.
7.Security
Data is encrypted in transit (HTTPS), documents are stored privately and only members of the company can access them, and access is controlled by roles. No system is perfectly secure; we will notify affected customers of any personal data breach as required by law.
8.Cookies
We use only essential cookies for sign-in, security (CSRF) and language preference. We do not use advertising cookies.
9.Children
The Service is intended for businesses and is not directed to children under 16.
